export of QuickSteps and custom categories

    Question

  • i wonder if someone knows how one could export - if even possible - QuickSteps and custom categories? the idea is to rollout Outlook with a preset of QuickSteps and custom categories. i know that for the latter in former Outlook versions there was the possibility to export a certain registry key (http://support.microsoft.com/kb/297405/en-us), which then could be provided to all users. in Outlook 2010 this registry key seems to be gone. QuickSteps also seem to be quite hidden. any ideas?

  • ok, i've found out that categories can be deployed via GPO (http://technet.microsoft.com/en-us/library/cc179073.aspx). this works fine, except that you can't assign a certain category to a certain color.

regarding Quick Steps: they are indeed stored in the mailbox (thanks Diane), in a hidden folder, where every Quick Step is stored as a message. so no luck with deploying these to our users, i'm afraid.

  • They are stored in the mailbox/pst. Have you looked at the options in the deployment tools? It may be possible to build them into the deployment but they can't be shared later.

  • thanks for the swift answer :). what deployment tools do you mean? OCT?

i think i read somewhere that categories aer part of the mailbox, but are the colors of those categories stored there too? also, are QuickSteps  also part of the mailbox? if so, it would mean you wouldn't lose them when you reinstall the client, right? but on the other hand, i can't think of a way (at least not with exchange 2003, that hosts our mailboxes) how to provide the users with a preset for QuickSteps and categories right in their mailboxes. would it be possible to create QuickSteps and categories via some macro/script, that would run before Outlook 2010 gets opened for the first time, and in this way gets stored into the users mailbox ?

  • Correct. QuickSteps are in the mailbox - use mfcmapi to browse it and you'll see them in the ipm_subtree. I'm not sure where category data is stored in there.

Yes. If you use import and the category doesn't exist in the mailbox already, you'll need to use the upgrade to color cat option.
