2 Years of emails missing after Enabling "Online Archiving" RRS feed

  • I recently enable online archiving for a user who's mailbox was in excess of 30GB to help with performance as she was constantly updating and having connection issues due to the amount of mail she was accessing through searches and what not.

    I got a report yesterday that her archive was missing items. Upon investigating I was able to determine she was missing almost 2 whole years of emails within the archive. I got this information using Powershell Commands on Exchange.

    Search-Mailbox mailboxname -SearchQuery {Received: "10/2/15..07/31/17"} -TargetMailbox Mailboxname -TargetFolder foldername

    ResultItemsCount : 87

    ResultItemsSize : 36.84 MB

    When I checked her Online Archive size it was only 21GB and her Mailbox has only 4GB in it so I can see that there is roughly 8GB of emails missing and the results show that there are almost no emails between those dates.

    Is there a known issue regarding this or any way to see if these items are recoverable? It has been roughly a month since the archive was created. I am also unsure if the online archive uses any sort of compression resulting in it being smaller than the data that was moved from the mailbox.

  • Hi Nathan Shortsle,

    After enabling online archiving, mailbox/Exchange will not move emails to archive mailbox automatically. This action should done manually or done with retention policy.

    If this emails really exist before and this mailbox is archived by retention policy. I would suggest you have check about the retention tags that contained in the retention policy. This emails may be deleted retention policy.

    Get-RetentionPolicy (Get-Mailbox UserA).RetentionPolicy | fl RetentionPolicyTagLinks

    The Results of that are as follows.

    RetentionPolicyTagLinks : (Personal 1 year move to archive)

    I checked another users mailbox that is using the same retention policy and I can see items in the date rante that I previously mentioned but for some reason the Results for the same command show less results than I can physically see within the mailbox for that date range. Another user not using the archive however gives 10000 results for that date range.

    Is there a specific command to search the archive or is the line I ran covering all emails?

    By default, search-mailbox will search archive mailbox:

    Do you mean that you could find those email from mailbox directly, but when use Search-Mailbox command, the result is less than that?

    If so, you can try with "New-MailboxSearch" command which is more professional than "Search-Mailbox"
