Replace words on Office applications RRS feed

  • Question

  • Dear Office365 Experts;

    Our HR wants this:

There are some sexist language words like:

    • businessman
    • chairman

When people use them on Office applications like Word, Outlook or on Office 365 like OWA,Sharepoint, they will be need to automatically replace with:

    • business person
    • chairperson

These are only example, there are more words.

How can we do it, is it possible ? Are there options in Office365 to change them automatically ? Are there options in Office applications to change them automatically ? This must work for every workers.

    Thank you very much..

  • Hi Mehmet Cuneyt Durgun,

Joyce's last advice can help you, but if I get you correctly, you would need a solution to be distributed to multiple users. This action, adding AutoCorrect entries in Office apps, actually updates the ".acl" files in the following path:

    %AppData%\Microsoft\Office

You can get all related entries added in one client, figure out the corresponding ".acl" files that are updated as you add the entries, and distribute those files to the users by using the same path/folder in their clients. You might also consider planning something to backup the existing ones first, just in case.

  • Hi,

I'm afraid there is no such function in Exchange or O365 which could automatically replace the words, you may refer to the official article here about Find and replace text within an email message or item

  • Thank you Joyce but I am disappointed.. I hoped for good solutions and workarounds..

Are you sure we can not do it with auto correct lists and dictionaries in Office ?

  • Hi,

You could try this in outlook to meet your requirement:

Add or remove AutoCorrect entries in Outlook

  • What is the problem with businessman - businesswoman? chairman - chairwoman? It is really strange issue.
