How to configure a task as private and display/assign it to only some users/groups in Project Server 2013? RRS feed

  • Hi, Greetings for the day!

    We are implementing Project Server for a new project. There is one requirement, it says that the solution shall allow Administrator to set a task as “private” and then it would only be visible to Administrators or the Assignees who are assigned to that task.  The default would be public. Is it possible to implement in Project Server 2013 ?

    Your help is greatly appreciated. Thanks in advance !

    Good question.  First of all, you need to know that there is a major difference between "seeing" a task and being able to "update" a task.  In Project Server 2013, team members can only see the projects to which they assigned at least one task, and project managers are only allowed to see their own projects.  That limits who can see what in Project Web App (PWA).

    On the Timesheet and Tasks pages in PWA, each team member can only see and update the tasks to which he/she is assigned.  So, on the Timesheet and Tasks pages, only the resources assigned to the secret task will be able to see it and update progress for it.

    Thanks for looking into this question and quick response !

    Is it is possible to make all the tasks (non secret/private tasks) visible to all resources by creating some custom security groups or categories in Project Server 2013?

    When a team member logs into PWA, he/she will ONLY SEE the tasks assigned to him or her.  He/she will see these tasks on the Timesheet page or the Tasks page.  There is no way to configure Project Online to allow a team member to see EVERY task, non-secret and private, using either Groups or Categories.  Hope this helps.

    You are right. If we go to tasks page, it will only display tasks assigned to logged on user. But, if we grant "Team Member" permissions to a resource and if they click on project schedule, they are able to see complete schedule and all tasks though it was not assigned to them. Client is looking to restrict tasks being displayed in project schedule if its not assigned to logged on user(s). Is it possible to achieve?

    No, that is not possible.  If a user has permission to view a project, the user is allowed to see every task in the schedule.  The client's requirements are inconsistent with how Project Online works.  Sorry.  Hope this helps.
