Projects not showing in Project Centre RRS feed

  • Hi

    We have a new team lead that we have set up with the same permissions/categories as all our other team leads, however he cannot see any projects that his team are assigned to and the original team lead can still see their old team members projects in the Project Centre.

    The projects have been published, are not sub projects and the views have no filters or groups.

    Any idea what we need to do in order for him to see his team's projects?

  • Hi,

    if you set up categories and groups to show projects team members are assigned to to their team leads, I assume that you are using RBS. Is RBS set correctly for your new team lead?

    You could also check by which category a specific project is displayed to the old team lead using "Check effective permissions" from PWA Settings - Manage users. Perhaps there is one category or group missing for your new team lead?

    We are not using RBS - we did in our other version - we upgraded to Project Online in April and this is the first time we have had a new team lead start so not sure where the permissions are for him to view his teams projects.

    I have checked the "effective permissions" as per your suggestion and they are exactly the same as other team leads.

    Any other suggestions?

    one other idea: Has your new team lead the same view applied as the old team lead? Category permissions are applied to views. So he may just use another view only applied to other categories?

    This is often a case of digging through the security settings and comparing for both users - remember security can be set per user, per user group, and per project (assuming Project Server Perms mode).  Also you can use the delegation feature so you are not pestering the new team lead whilst checking what he/she can see.

    assuming that

    • no permissions are set on user level - as mentioned by Ben
    • old team lead is not Site Collection admin - which would make him see all projects
    • both users are members of the same group(s)

    I see a few more options:

    Remove TL Old from all groups except Team Leads. Are projects still visible? In this case, he will not see them because of being a team lead but by another reason. So you will need to check other group memberships.

    If projects are still there: What categories have you assigned to group Team Leads. What is the definition for included projects for each category? Specific projects, some dynamic relation (is owner or status manager, ….) Please let us know.

    While writing the last line: Is it possible that old team lead did create all projects new team lead can not see? In this case, the old TL will be Status Manager of all tasks and "The User is the Project Owner or the User is the Status Manager on assignments within that Project" will apply, e.g. with category "My Projects" (even if owner was changed later, Status Manager will be the one who created any task in a project). But you should be able to see this difference in "Check effective rights". Did you use Permission Type "Category Permission - Project" and the same project for both? Since both users are not seeing the same, there has to be a difference. Here a sample - PM1 has created the project, PM2 has no relation to this project:

    We have an admin team that set up all projects so it can't be because the old TL has created projects the new TL can't see.

    The new TL has taken some of the old TL resources so not sure if it's something to do with that.

    We do not assign permissions to individual users, they are driven by the group permissions.

    The Effective Rights are exactly the same for all TL's, it's only the new one that can't see any projects.

    We didn't set the categories up, our partner did when they implemented the system. I might have to go back to them for them to resolve.

    Is your new user able to open projects in the Project Pro scheduling tool? If so can they open a project where resources are assigned?

    Adding a new column in any visible table called "Status Manager" can reveal who should be receiving updates from Team Members - in PWA assignments will show "Approval Manager" in the assignment details page. They may find that their predecessors name appears against assignments (tasks with resources assigned) and their own name will appear against summary tasks - they can replace their predecessors name with their own and then save and publish which should allow them to see the project in the Project Centre in PWA.
